Intro to Comp Copy

Comp Copy's purpose, guidelines

Comp Copy is PRH’s internal tool for ordering complimentary or free copies of PRH books, such as author contractual copies or PRH books required for research.

Any books for personal use should be ordered via PRH Employee Ordering rather than Comp Copy.

Likewise, publicity or marketing copies that are going directly to a reviewer or other marketing contact generally should be ordered and shipped via Publicity Workbench (PWB) or via the MKT process. Galleys and ARCs are not available via Comp Copy. Contact MktMailings@prh.com for more about how to order these items.

Your department will be charged for the books you order on Comp Copy. Business managers have visibility into all books ordered. The cost of books ordered on Comp Copy is the PPB cost of the book (paper, printing, and binding) plus shipping and handling.

Logging in

Before the sign-in screen, you may be prompted to enter your network credentials.

Once you arrive at the sign-in screen, you can enter your free and review account number. Your departmental cost center number is the first 6 digits of your account number plus 4 additional numbers. Please do not share account numbers. If you don’t have a number, send an email to newaccount@prh.com and cc your business manager for approval.

On the homepage, you’ll see your 5 most recent orders. You can click on any of the sales order numbers to view the order details page. Your account information is located on the right side of the page, along with support contacts.

Placing Your Order

Placing Your Order

When you are ready to complete your order, you can go to your cart to review the titles you’ve chosen. You can edit your cart or save a title for later.

Enter the desired shipping address. Depending on your location and how your free and review number has been set up, you may be able to ship to the US, Canada, or other locations.

 

Purchase Order: The PO number in the cart defaults to a number that is based on the current day/time. You can overwrite this with a mix of your own numbers and letters; special characters are not allowed. It may be convenient to include the last name of the person you’re shipping to.

Invoice Description: The contents of this field will show up on Comp Copy as “Special Instructions” on your Orders. PRH Customer Service will also be able to view it. However, this is for your reference only; if you have a specific instruction or request that the warehouse needs to see, contact Customer Service.

Bill of Lading: For any delivery instructions for the carrier. For international orders, you must list the recipient’s name and phone number in the bill of lading (“BOL”) text.

Carton Markings: These print on the shipping label, not the actual carton.

If the order hasn’t been processed and is still in open status or backordered, you can edit or cancel the order. Click here to see a list of order statuses.

Confirmation & Tracking

After you place your order, you’ll receive an order confirmation email. Once your order has shipped, you can find tracking details in your Order Detail within Comp Copy.

To log out, click on the account button and sign out.

Managing Your Cart

Adding multiple ISBNs and quantity

You can add multiple ISBNs to your cart at once, along with quantity, using the “Add ISBNs” function shown above.

In the paste field, ISBNs can have dashes in them. You can copy and paste a column of ISBNs, or two adjacent columns of ISBNs and quantities.

ISBNs without quantity can be separated by line breaks, like so:

ISBN3

ISBNs with quantity can be separated by line breaks plus columns, or line breaks plus commas. In the example below, the function will add 10 units of ISBN1, 20 units of ISBN2, and 40 units of ISBN3 to the cart:

The cart will check to confirm that all the ISBNs are valid (i.e., available for ordering via Comp Copy by your account). Once the ISBNs have been checked for validity, you’ll see a pop-up like this:

Managing your cart

You can add titles to your cart from search results or from the title detail page.

Once you’ve added titles to your cart, you can see their inventory status and when possible, an estimated delivery date. In the example below, the first ISBN will be backordered and the second one has an estimated delivery date.

If an title you’ve ordered is backordered, it will be visible on the Backorder list.

You can “Save for Later” if you want to keep a title but aren’t ready to order it right now.

Search for an ISBN, title, author, or series in the search bar:

Future ISBNs can usually be ordered starting at 270 days before their on-sale date.

Click on any ISBN in the search result to see the title detail page, which will show available formats. Only physical formats are available via Comp Copy.

You can add ISBNs to your cart via the search results or title detail page, and can adjust the quantity if you need more than 1 copy.

Searching for Multiple ISBNs

You can enter multiple ISBNs at once by pasting from a spreadsheet or pasting a list separated by a line break. Any white-space delimiter (space, tab, return) should work; ISBNs separated only by commas or semicolons (without spaces) will not work.

For convenience, multiple ISBNs can also be pasted directly into your shopping cart, with quantities, via the “Add ISBNs” button. See the Managing Your Cart section for more information.

Search Results, Inventory, Initials, Embargoed Titles

Once you get results, you can use the filters at left to narrow down the results (for example, to see only hardcovers or only new releases). You can use the “Availability” filter to see only titles that are in stock. See below for a list of the inventory statuses that count as “Available.” You can also change the number of search results shown and choose a sort order.

Within search results, you can sort by relevance, on-sale date, price, or title (alpha). You can also use the filters on the left to narrow your results by availability, format, and new release vs. backlist.

Where relevant, inventory alerts will display in the search results. Here is a glossary of what these terms mean:

  • Managed Stock: All Orders – This is a fast-moving title. In order to ensure access for as many customers as possible, the order for this ISBN will be reviewed by PRH before it ships, and it may be held for a period of time. Will be shown as Available in the filter.
  • Managed Stock: 12 Books [quantity can vary] – This is a fast-moving title. In order to ensure access for as many customers as possible, any orders of 12 units [quantity can vary] or more for this ISBN will be reviewed by PRH before it ships, and it may be held for a period of time. Will be shown as Available in the filter.
  • Low Stock – Inventory for this ISBN is currently low. Order quickly to avoid delays. Will be shown as Available in the filter.
  • Moving Quickly, Act Fast – Inventory for this ISBN is currently very low. Order quickly to avoid delays. Will be shown as Available in the filter.
  • Back in Stock Soon – This ISBN is currently out of stock, but should be back in stock within a week.
  • Temporarily Out of Stock -You can order this ISBN, but we don’t currently have an estimated delivery date. It will be backordered. Will be shown as Not Available in the filter.
  • On Sale Soon – This ISBN is an initial. It’s orderable but not yet on-sale. ISBNs are in this category if there are 270 or fewer days before their on-sale date. This ISBN will be backordered. Will be shown as Not Available in the filter.
  • Restricted Market – This type of ISBN will be excluded from search results unless you search directly by ISBN. This ISBN is not available to your account type.
  • Out of Print – This type of ISBN will be excluded from search results unless you search directly by ISBN. This ISBN is out of print and not available.

 

Initial Titles
If you’ve ordered an ISBN that is not yet on-sale via Comp Copy, it will be backordered until it’s ready to ship. New title orders release to the warehouses for shipping on the first release date on the New Title Release Schedule. If you need a book to ship earlier than that date, contact csreviews@prh.com (PRH divisions) or PRHPSreviews@prh.com (clients).

Embargoed Titles
If an ISBN is embargoed, it will be backordered and will not ship without permission from the publisher. The order will be held until the embargo is lifted, which is usually on the on-sale date. Shipping

PRH’s inventory systems consider an entire order and stock locations across our warehouses before determining which warehouse an ISBN will ship from at a given time. Therefore, shipping location cannot be shown in advance on Comp Copy. However, you can see it on your order once that information is available.

Transit times will vary depending on the shipping method chosen. If an order has been placed by 11 am and Next Day or Second Day is chosen, usually the order will ship the same day. If your order is after 11 am but must ship out today, contact csreviews@prh.com (PRH divisions) or prhpsreviews@prh.com (clients).

Put the instructions in the Bill of Lading instructions.
